Applicable Insights – Terms of Use

  1. Acceptance of Terms

By accessing and using Applicable Insights, you agree to comply with and be bound by these Terms of Use (“Terms”). If you do not agree to these Terms, you must not use this service.

  1. Access and Eligibility

Access to Applicable Insights is restricted to authorised users from approved domains and customers. Users must be nominated and provisioned through the appropriate identity and access management processes.

  1. Applicable Insights Functionality

Applicable Insights provides access to services, including but not limited to:

  • Embedded reporting (e.g. Applicable Telephony Insights).
  • Automated Service Requests (ASRs).
  • Incident, Capacity, Configuration, and Problem Management interfaces.
  • API documentation and publication services.
  1. Your Responsibilities

Users of Applicable Insights are expected to adhere to the following responsibilities to ensure secure, compliant, and effective use of the service:

4.1 Authorised Use

  • Access to Applicable Insights is restricted to authorised users who have been provisioned through approved identity and access management processes.
  • Users must only access data and services for which they have been explicitly granted permission.
  • Use of Applicable Insights must align with the intended business purpose and the user’s assigned role (e.g. Partner Admin, Customer Admin, Service Fulfilment User).

4.2 Security and Access Control

  • Users must not share login credentials or allow unauthorised individuals to access the service.
  • All access is subject to audit and monitoring. Users are responsible for any activity conducted under their credentials.
  • Users must report any suspected unauthorised access or security incidents immediately to the Applicable security team at security@applicable.com.

4.3 Data Integrity and Accuracy

  • Users are responsible for ensuring the accuracy of any data they input into Applicable Insights, including Automated Service Requests (ASRs), incident reports, and configuration changes.
  • Misuse of the platform to submit false, misleading, or incomplete information is prohibited.

4.4 Compliance

  • Users must comply with their Information Security Policy and any customer-specific governance requirements.
  • Use of Applicable Insights must not violate any laws, regulations, or contractual obligations.
  • Users must not introduce malicious software or spam.
  • User must not attempt to reverse engineer or extract source code.

4.5 Respect for System Boundaries

  • Users must not attempt to bypass access controls, reverse engineer components, or interfere with the operation of Applicable Insights or its APIs.
  • Any integration with external systems (e.g. via eBonding or API) must be approved and follow documented procedures.

4.6 Contribution to Service Quality

  • Users are encouraged to provide feedback on Applicable Insights functionality and report any defects or usability issues.
  • Participation in UAT (User Acceptance Testing) or ORT (Operational Readiness Testing) may be requested for major releases.
  1. Privacy and Data Handling

Applicable Insights is designed with a privacy-first architecture that aligns with Applicable Limited’s internal security policies, including the Secure Software Development Lifecycle (SDLC). The service adheres to the principles of data minimisation, purpose limitation, and zero-trust access. The service is primarily used for operational and service management purposes, and any data processed is limited to:

5.1 Data Collection

Applicable Insights collects data from the Customer’s Microsoft tenant or Personal Data used for authentication to Applicable Insights.

5.2 Data Usage

All data processed through Applicable Insights is used solely for:

  • Enabling secure access to service management functions.
  • Supporting automated workflows (e.g. ASRs, incident tracking).
  • Monitoring system health and performance.
  • Microsoft 365 Management, including Telephone Management.
  • Enable authentication to Applicable Insights e.g. first name, last name and email address.

Applicable Insights does not use data for profiling, marketing, or third-party analytics.

5.3 Data Storage and Retention

Data is stored in secure, access-controlled environments. Retention periods are governed by Applicable Limited’s internal data governance policies and customer-specific agreements. Temporary session data is purged automatically after logout or timeout.

5.4 Data Access and Control

Only authorised users with appropriate roles (e.g. Partner Admin, Customer Admin) may access data relevant to their organisation. Role-based access control (RBAC) is enforced at the platform level, and all access is logged and auditable.

5.5 Third-Party Access

Applicable Insights does not share data with third parties unless:

  • Required by law or regulation.
  • Explicitly authorised by the customer.
  • Necessary for integration with customer-owned systems (e.g. via eBonding or API).
  • Necessary for the fulfilment of the Customer or Partner’s contract.

Where applicable, Applicable Insights may collect and process limited user data. If personal data is collected (e.g. via cookies), this will be disclosed in the accompanying Privacy Statement.

  1. Intellectual Property

All content, features, and functionality available through the Applicable Insights service — including but not limited to software code, APIs, user interface elements, documentation, data models, and service workflows—are the exclusive property of Applicable Limited or its licensors.

Users are granted a limited, non-transferable, non-exclusive right to access and use Applicable Insights solely for authorised business purposes. This right does not include:

  • Any resale or commercial use of Applicable Insights or its contents.
  • Any derivative use of Applicable Insights or its components.
  • Any downloading or copying of information for the benefit of a third party.
  • Any use of data mining, robots, or similar data gathering and extraction tools.
  1. Modifications and Availability

Applicable Limited reserves the right to modify, suspend, or discontinue any part of Applicable Insights at any time without notice. This includes changes to service scope, access methods, or technical architecture. Any feedback, suggestions, or ideas submitted by users regarding Applicable Insights may be used by Applicable Limited without obligation or compensation, and shall not be considered confidential unless otherwise agreed in writing.

  1. Termination

Access may be revoked at any time for breach of these Terms or at the discretion of Applicable Limited. Upon termination of Customer contract or use, you must cease all use of the Applicable Insights, the portal and associated services.

  1. Disclaimer of Warranties

Applicable Insights is provided “as-is” without warranties of any kind. Applicable Limited does not guarantee uninterrupted access or error-free operation.

  1. Limitation of Liability

Applicable Limited shall not be liable for any indirect, incidental, or consequential damages arising from use of the Applicable Insight Portal or associated services.

  1. Confidentiality

You agree to maintain the confidentiality of all non-public information accessed through the Applicable Insights. This includes, but is not limited to, corporate data, personal data system configurations, and service metrics. Disclosure to third parties is strictly prohibited unless authorised in writing by Applicable Limited. Users must implement reasonable safeguards to prevent unauthorised access or disclosure.”)

This Privacy Statement outlines how the Applicable Insights service uses cookies and similar technologies. Applicable Limited is committed to protecting user privacy and ensuring transparency in how data is handled.

  1. Use of Cookies

Applicable Insights uses cookies solely to support the technical functionality and performance of the portal. These cookies:

  • Help maintain session state and user preferences.
  • Enable secure access to authenticated areas.
  • Support analytics for system performance and uptime monitoring.
  1. Cookies – No Personal Data Collection

Applicable Insights cookies do not collect, store, or transmit any personal data. Specifically:

  • No names, email addresses, IP addresses, or device identifiers are stored from cookies.
  • No profiling or behavioural analysis is performed from cookies.

Users cannot opt out of these cookies as they are essential to secure and maintain the functionality of Applicable Insights. However, since no personal data is involved, these cookies are compliant with applicable data protection standards.

Cookies with the “session” lifetime are only used while the browser is open and removed after you close the browser.
